Behind the Scenes: How We Run an AI Audit for a New Client

Consulting team working through a business process audit

When people hear the word "audit," they often picture clipboards, stern faces, and someone pointing out everything you are doing wrong. That is not what an AI audit looks like. Not with us, anyway.

Our AI audit is more like a guided tour of your own business, where we help you spot opportunities you might have walked past every day without noticing. It is collaborative, practical, and designed to give you a clear roadmap for using AI to save time and grow.

Here is exactly what happens, step by step.

Phase 1: The Discovery Call

Everything starts with a conversation. Before we look at any tools or processes, we want to understand your business. This is usually a 30-minute call where we cover:

This call is not about selling you anything. It is about understanding whether an audit will genuinely help. If we think your business is not ready for AI, or if your problems are better solved another way, we will tell you that honestly.

If you want to know more about what happens in an AI audit from a higher level, we have written about that separately. This article goes deeper into the actual mechanics.

Phase 2: The Process Mapping Session

This is where the real work begins. We schedule a longer session, usually 60 to 90 minutes, where we map out your key business processes in detail. We are looking at:

How Work Actually Flows

Not how it is supposed to flow according to your procedures manual, but how it actually happens day to day. Where do things get stuck? Where do people create workarounds? Where does the same information get entered multiple times?

Where Time Goes

We ask your team to estimate how long they spend on different tasks each week. The answers often surprise business owners. That report nobody thought much about? It takes someone three hours every Friday. Those customer emails? They consume half of someone's day.

What Tools Touch What

We map every piece of software your team uses and how data moves between them. This reveals gaps where information falls through the cracks and overlaps where people are doing double work.

Why We Talk to Your Team

Whenever possible, we like to speak directly with the people who do the work, not just the business owner. The person processing invoices every day knows exactly where the pain points are. The sales team knows which parts of the CRM they ignore because it is too clunky. These frontline insights are gold.

Phase 3: The Opportunity Analysis

After the mapping session, we go away and do our homework. This is the part that happens behind closed doors, and it is where our experience across dozens of businesses pays off.

We analyse your processes against three criteria:

We are looking for the sweet spot: high impact, low complexity. These are your quick wins, the automations that deliver results fast and build momentum for bigger changes later.

As an AI consultant, our job is not to recommend the most impressive technology. It is to recommend the right technology for your specific situation.

Phase 4: The Recommendations Report

We present our findings in a clear, jargon-free report. No fifty-page documents that gather dust on a shelf. Our reports typically include:

We walk through the report together, answer questions, and refine the priorities based on your feedback. By the end of this session, you have a clear picture of what to do first, what to tackle later, and what the expected return looks like.

Phase 5: What Happens Next

The audit report is yours to keep, regardless of whether you work with us to implement the recommendations. Some clients take the report and run with it themselves. Others ask us to handle the implementation. Many fall somewhere in between, tackling the simple stuff internally and bringing us in for the more complex automations.

If you do want to move forward with implementation, we have a structured process for that too. You can read about what happens after the AI audit in our implementation guide.

What Makes Our Audit Different

There are plenty of consultants who will sell you a generic AI strategy. Here is what we do differently:

Is an AI Audit Right for You?

An AI audit is most valuable if you suspect there are better ways to run parts of your business but you are not sure where to start. If your team is spending too much time on repetitive tasks, if information is falling through cracks, or if you feel like your competitors are moving faster, an audit will give you clarity and direction.

It is not right for everyone. If your business has fewer than three people, or if you are not yet using any digital tools, there might be simpler starting points. But for most UK businesses with a team and established processes, an audit is the fastest way to identify where AI can make a real difference.
